About the Role
We are seeking a highly organised and proactive Business Support Officer – Operations professional to join our Asset Maintenance & Repairs team in WA.
In this role, you will provide critical administrative and operational support across invoicing, scheduling, estimating, and coordination activities. You will play a key part in ensuring the smooth day-to-day running of operations while maintaining high standards of safety, accuracy, and efficiency.
Key Responsibilities
Operational Support
- Coordinate scheduling and workflow to maximise productivity
- Process timesheets for payroll and job records
- Raise and manage jobs, purchase orders, and client estimates
- Monitor and close out jobs and POs as required
- Maintain accurate data entry across business systems
- Manage vehicle maintenance schedules and bookings
- Coordinate flights and accommodation for employees
- Maintain rosters and workforce planning systems
- Respond promptly to emails and prioritise workload effectively
Financial & Administrative
- Assist with invoicing and estimation processes
- Follow up on accounts and invoicing queries
- Update forecasting systems and internal platforms
Compliance & Safety
- Promote and maintain a strong safety culture
- Ensure compliance with HSEQ policies and procedures
- Conduct fatigue and qualification checks
- Report incidents and hazards promptly
Team Contribution
- Support a collaborative and positive team environment
- Communicate openly with internal teams and stakeholders
- Provide backup support across the team when required
About You
You are a detail-oriented and reliable professional who thrives in a fast-paced environment and enjoys supporting operational teams.
Essential Requirements:
- Previous experience in a similar administrative or operations support role
- Strong safety focus and commitment to compliance
- Excellent communication and interpersonal skills
- High attention to detail and strong organisational skills
- Ability to manage competing priorities effectively
- Competency across Microsoft Office (Word, Excel, Outlook)
- Current Class C Driver’s Licence
Desirable:
- Certificate III or Diploma in Business Administration
- Experience with MYOB EXO or similar systems
- Experience working with scheduling or workforce planning tools
