About the Role

FMS Group is seeking an experienced and motivated Project Administrator to join our Shutdown Mining Division. This is a site-based role supporting shutdown operations across mine sites in the Bowen Basin, working closely with Shutdown Supervisors and Coordinators to ensure the efficient delivery of maintenance projects.

This is a casual DIDO position operating on a 4 days on / 3 days off roster, commencing late July through to mid-October. The successful candidate will play a key role in maintaining accurate project documentation, supporting compliance requirements, and ensuring administrative processes are completed to a high standard in a fast-paced mining environment.

Key Responsibilities

  • Provide day-to-day administrative support to Shutdown Supervisors and Coordinators.
  • Prepare, maintain and manage shutdown documentation, records and project paperwork.
  • Complete document control, filing, scanning, archiving and record management.
  • Assist with timesheet processing, verification and record keeping.
  • Ensure compliance with company, client and legislative documentation requirements, including permits, work instructions and safety documentation.
  • Maintain accurate records of JSEAs, SLAMs, task lists and other required site documentation.
  • Communicate effectively with site personnel, clients and internal stakeholders.
  • Support HSEQ initiatives by participating in toolbox meetings, risk assessments and safety discussions.
  • Promote and maintain a strong safety culture while ensuring compliance with site Safety Management Systems.

What You'll Bring

  • Previous administration experience within the mining, shutdown or heavy industrial sector
  • Experience supporting site-based maintenance or shutdown projects is highly regarded
  • Current Coal Board Medical – preferred
  • Current Standard 11 – preferred
  • Strong knowledge of document control and record management processes
  • Excellent organisational and time management skills with exceptional attention to detail
  • High level of proficiency in Microsoft Office Suite and SharePoint
  • Strong communication skills and the ability to build positive working relationships across all levels.
  • Ability to work independently while contributing to a collaborative team environment.
  • A proactive approach with a strong commitment to safety, compliance and continuous improvement.
