About the Role

As the Projects Planning Coordinator, you will provide vital administrative and operational support across rostering, project set‑up, tracking, invoicing, scheduling and data management. Your high attention to detail and strong organisational skills will help optimise our workflow, ensure accuracy, and support both internal teams and external stakeholders.

You’ll work closely with Operations to ensure all tasks are completed professionally, safely and on time.

This role is part time 25 hours minimum per week working from the office in Brisbane.

Key Responsibilities 

  • Support rostering, workforce scheduling and project administration
  • Manage incoming purchase orders and assist with establishing project budgets
  • Complete timely and accurate invoicing
  • Conduct CMS, fatigue and qualification checks
  • Assist with estimating, tenders and entering work packages
  • Generate shifts, rosters and manning lists
  • Provide support for timesheet processing and payroll functions
  • Handle data entry, accounts payable/receivable and general administration
  • Assist with auditing and system-related tasks
  • Uphold all HSEQ requirements, reporting issues promptly
  • Foster positive communication and teamwork across the division

What You’ll Bring

Essential:

  • Strong commitment to safety
  • Previous experience in a similar administrative/coordinator role
  • Excellent communication and interpersonal skills
  • Ability to manage competing priorities in a fast‑paced environment
  • High attention to detail and commercial/financial awareness
  • Strong Microsoft Word, Excel and general computer skills
  • Class C driver’s licence

Desired:

  • Cert III / Diploma in Business or Administration
  • Experience with Acumatica or MYOB XO
  • Finance or accounts administration experience
  • Ability to work with minimal supervision
