Due to continued growth, we are looking for a highly skilled and proactive Senior Project Administrator to join our team.

To succeed in the role, you will have a proactive attitude, strong work ethics, be well organised, ability to plan ahead and solve problems, along with a strong safety focus and clear communication skills.

Key deliverables/responsibilities include but are not limited to:

  • Provide administrative support across mechanical, structural, and electrical projects from mobilisation through to close-out.
  • Assist with project scheduling, resource tracking, and coordination of deliverables.
  • Maintain accurate project documentation, registers, and databases (e.g., drawing logs, RFIs, variations, QA records).
  • Support contract administration processes, including the preparation of subcontractor packages, purchase orders, and progress claims.
  • Ensure compliance with client and company systems, including safety, quality, and environmental requirements.
  • Track and report on project KPIs, including costs, progress, and milestones.
  • Assist with requisitions, purchase orders, and invoice matching.
  • Support budget tracking, cost reporting, and forecasting processes.
  • Assist the Operations Managers in driving business strategy, objectives, and revenue goals.
  • Evaluate best practices and processes to identify opportunities for improvements in workflow, reporting procedures, and expenditures within the Operations Managers' scope of operations.
  • Consolidate content for client papers by applicable deadlines, draft communications, prepare papers, presentations, and project materials.
  • Manage travel, invoices, expenses, and other approvals.
  • Provide administrative support to the broader Project Management team as required.

About You

Successful candidates will have experience/skills in the following:

Essential:

  • 5+ years of experience in an executive support, operations, or similar role.
  • Previous experience in developing and leading high-performing teams.
  • Exceptional organisational and time-management skills.
  • Strong written and verbal communication skills.
  • Advanced MS Office skills (Excel, Word, Outlook, PowerPoint).
  • Excellent attention to detail and problem-solving capabilities.
  • Demonstrated knowledge of project delivery frameworks, systems, and documentation control.

Desirable:

  • Experience in fixed plant, mining, renewables, or government contracts.
  • Exposure to project management software (e.g., MS Project, Aconex, Procore, or similar).
  • Knowledge of WHS, environmental, and quality systems and standards.

Qualifications

  • Certificate IV or higher in Business Administration, Project Management, or a related discipline (desirable).
